In short
- Fleet-Centre is a platform for monitoring machines such as mowers and turf equipment. Machine manufacturers (“OEMs”) and the organisations that own or run the machines use it.
- We collect account details, information the machines and their apps report (including where a machine is), and records of who used which machine.
- For most of this we act on behalf of the organisation you work with or for. They decide why it is collected, and they are usually your first point of contact.
- We don't sell personal information, and we don't use it for advertising.
Who we are
Fleet-Centre is operated by M & K Electronic Solutions Ltd (company number 8055449), Tapton Park Innovation Centre, Brimington Road, Tapton, Chesterfield S41 0TZ. In this notice “we” and “us” mean the operator of Fleet-Centre.
Our role. Most of the information in Fleet-Centre is held on behalf of the organisations that use it: the OEM that makes a machine, and the customer that owns or operates it. For that information, the organisation is the controller (it decides why and how the information is used) and we are its processor or service provider. We use it only to provide Fleet-Centre to them, under our agreement with them. Where an organisation uses Fleet-Centre under its own brand, its own privacy notice also applies.
We are the controller for a smaller set of information: this website, the accounts we administer directly, support requests sent to us, and the security and reliability of the platform.
What we collect
- Account information
- Your name, email address, the organisation you belong to and your role. Also a record of when you sign in, which can include your IP address and browser.
- Machine information
- What a machine reports through its app: identifiers (such as the control unit's ID and serial numbers), status, faults and alerts, battery and motor readings, hours of use, settings and firmware versions.
- Location
- While a phone running a Fleet-Centre app is connected to a machine, the app sends the phone's GPS position with the machine's readings. We use it to show where a machine is and has been, and to name those places (see Place names).
- Who used which machine
- When someone signs in to an app and connects to a machine, we record which account was connected to which machine and when. Combined with the location and readings above, this can show where and how a particular person used a machine.
- Phone and app information
- The phone's make, model and operating system, the app version, and crash reports if the app or website fails. A crash report can include the app's state and approximate location at the time.
- Support and email
- What you send us in a support request, and records of the emails Fleet-Centre sends you, such as invitations, password resets and machine alerts.
We don't ask for sensitive categories of information (such as health or religion), and Fleet-Centre isn't intended for children.
How we use it
- To run Fleet-Centre for the organisations using it: showing machines, readings, faults, locations and history; sending alerts; managing fleets and accounts.
- To keep it secure and working: checking that machines and apps are genuine, preventing misuse, investigating faults and crashes.
- To provide support you ask for.
- To meet legal obligations.
Legal basis (UK and EU). Where we act for an organisation, it determines the legal basis, usually its legitimate interests in looking after its machines and its staff's safety, or a contract. Where we are the controller, we rely on our legitimate interest in providing and securing the service, on performing our contract with your organisation, and on legal obligation where it applies.
Place names
To show a place name such as a golf course rather than a pair of coordinates, Fleet-Centre sends machine positions to Geoapify, a mapping service, which returns the name of the place. We send only the position, never who was using the machine. We keep the names so each place is looked up only once.
We name a place itself only when it is a business or a sports or education venue, such as a golf course, sports ground, school or dealer. Anywhere else could be someone's home, so we keep only the district, town, region, country and the first part of the postcode. We never store the street or house number.
Where it is stored
Fleet-Centre's database is hosted in the European Union. Some service providers may process information in other countries, including the United States. Where information leaves the UK or the EU, we rely on adequacy decisions or standard contractual clauses (and the UK addendum) to protect it.
How long we keep it
We keep information for as long as the organisation it belongs to uses Fleet-Centre, and as its agreement with us requires. Machine history can be kept longer where an organisation needs it, for example for warranty, safety or maintenance records. When an account or organisation leaves, we delete or anonymise its information within a reasonable period, unless the law requires us to keep it.
Security
Information is encrypted in transit. Access is controlled per organisation and per role, so people see only the machines and accounts they are entitled to. Machines and apps identify themselves when they send data. No system is perfectly secure, but we work to protect information and to respond quickly if something goes wrong.
Your rights
Depending on where you are, you can ask to see the information held about you, correct it, delete it, limit or object to how it is used, or receive a copy to take elsewhere. Where we act for your organisation, we will pass your request to them, or you can contact them directly. You won't be treated differently for using these rights.
UK and European Union
Your rights are those of the UK GDPR and the EU GDPR. You can complain to your data protection authority: in the UK the Information Commissioner's Office (ico.org.uk), or the authority where you live or work.
Canada
Your rights are those of PIPEDA and, where they apply, the private-sector privacy laws of British Columbia, Alberta and Québec, including access and correction. You can complain to the Office of the Privacy Commissioner of Canada or your provincial commissioner.
United States
Where state privacy laws such as California's apply, you can ask to know, correct or delete personal information. We don't sell or share personal information for advertising, as those laws define it.
Australia and New Zealand
Your rights are those of the Australian Privacy Principles and the New Zealand Privacy Act 2020. You can complain to the OAIC (Australia) or the Privacy Commissioner (New Zealand).
Changes to this notice
We will update this notice when how we handle information changes, and change the date above. We will tell organisations using Fleet-Centre about significant changes.
